By default, all NextRequest email communications, both internal for Agency users and external for Requesters (Guest users), are sent from the email address messages@nextrequest.com, as shown in the following example.
We believe that every interaction with the public is an opportunity to reinforce your agency’s identity and build trust. One way to do this with your NextRequest portal is by setting up a custom sender email using your agency domain for email communications sent from NextRequest. Benefits of using your agency domain include:
- Building Trust and Increasing Engagement: Agency users and Requesters are more likely to open emails from a sender they recognize. Using your agency domain links the messaging directly to your agency, leading to higher open and click rates.
- Email Authentication and Email Deliverability: Emails from custom domains are less likely to end up in spam folders or get blocked by a firewall. Proper email authentication (using SPF, DKIM, and DMARC records) ensures your emails reach your Agency users and Requesters reliably.
Set Up a Custom Email Domain
Setting up a custom email domain for your NextRequest portal is simple:
- Send an email to our support team and include the email address you would like to send from.
- Our team will provide you with a hostname and TXT record for your DKIM record.
- Our team will also provide you with return path DNS records to ensure that your emails are delivered reliably.
- In your domain’s DNS settings, add the DKIM record and the return path record. Your Information Technology team can generally facilitate both this and step 5 below.
- Enable DMARC for your domain.
- After you have added the values to your DNS and have enabled DMARC, update our team on your existing ticket. We will verify and confirm when ready. It may take up to 48 hours for the DNS records to propagate.
- Once verified, our team will update your portal settings to enable sending from your agency email domain.
